Our platform automatically checks the Name and TIN combination provided for all US Persons against the IRS database, and displays the results of the TIN match (referred to as the “US TIN Status”) throughout the Taxbit Dashboard.
Below is a summary of each possible US TIN status:
Valid
A Name/TIN combination was sent to the IRS e-Service, and the results received back indicate that the provided information matches the IRS database.
On certain reports, this status is broken out into the following, to indicate which IRS database the information was matched to:
- Valid SSN Match – The Name/TIN combination matches the IRS SSN Database
- Valid EIN Match – The Name/TIN combination matches the IRS EIN Database
- Valid SSN/EIN Match – The Name/TIN combination matches both the IRS SSN and EIN Databases
Mismatch
A Name/TIN combination was sent to the IRS e-Service, and the results received back indicate that the provided information does NOT match the IRS database.
TIN Not issued
A Name/TIN combination was sent to the IRS e-Service, and the results received back indicate that the provided TIN does not exist in the IRS database (i.e., it has not been issued).
Non-US
Information on file indicates that the Account Owner is a non-US person, such as a non-US country code in the tax_country_code field. To the extent Taxbit assists you with the collection of Forms W-8/9, this also includes the submission of a Form W-8.
Invalid Data
A Name/TIN combination has not been sent to the IRS e-Service, as the information on file for one or both of the fields is insufficient.
In order to process a request, the name field must have one or more characters supported by the IRS TIN Matching e-Service. In addition, the TIN must be 9 non-repeating, non-consecutive digits.
Pending
The Name/TIN combination has been sent to the IRS e-Service and we are awaiting a response from their system.
Note – for security purposes, the IRS TIN Matching e-Service has certain volume limitations around the number of times a specific TIN and/or name can be checked per day. As a result, there may be delays for certain common names (e.g., John Smith, Samantha Jones, etc.).
