TaxBit’s TIN Verification service will automatically check that the Name and TIN combination that was ingested for a given User matches the Name and TIN combination that the IRS has on file.
TIN Match Status Definition
Once the TIN has been checked, the status will be displayed in the TaxBit Dashboard if you search for and select a specific user. You can also generate this information in the “TIN Verification Status” report from the reports section.
PENDING
- Why: The Name and TIN combination have been sent to the IRS and we are awaiting their system's response.
- Next Steps: Pull the report again tomorrow for an updated status, or wait some time and check within the Dashboard, making sure to understand 1-3 day IRS return timelines.
INVALID DATA
- Why: The name or TIN is missing, or the TIN in the request was missing 9 digits, had alpha characters, or has symbols other than those supported
- Next Steps: Review information on file to ensure there is both a complete name and 9 numerical digit TIN. If there is a lack of a name or TIN on file, contact the customer to obtain it.
TIN MISMATCH
- Why: TIN does not match the name provided, per the IRS.
- Next Steps: Contact the end customer to review their information on file to ensure that both the name and TIN are accurate. It could be either the name or TIN that requires an update.
TIN TYPE MISMATCH
- Why: The combination is a valid match, however, 1) the TIN is marked as an EIN, but is only a valid SSN, or vice versa 2) the TIN is either a valid SSN and/or EIN, but the tin type is unknown.
- Next Steps: Review the TIN type associated with the customer account, and use the Update Users API or work with your TaxBit Implementation Rep to update accordingly.
COUNTRY CODE MISMATCH
- Why: The name and TIN submitted matched with the IRS as Valid, but a Foreign Country Code was submitted for the user in the country_code field on the User Record.
- Next Steps: Contact the end customer to review their tax residence country to confirm if ‘US’ should be included. Given the valid SSN or EIN, the user may be ‘US’ for tax purposes, although this is not always the case.
TIN NOT ISSUED
- Why: The TIN provided has not been issued per the IRS.
- Next Steps: Contact the end customer to review their information on file to confirm the TIN is accurate. It could be that the TIN was recently issued, there could have been a typo, or it could be a fraudulent user.
TIN MISMATCH FOREIGN INDICIA
- Why: There is a 9-digit TIN with US TIN type indicated, a foreign country code in the country_code field, and a “mismatch” result was returned by the IRS.
- Next Steps: Contact the end customer to review their tax residence country to confirm if ‘US’ should be included. Given that a US TIN and TIN type were provided, the user may be ‘US’ for tax purposes, although this is not always the case. Additionally, the user should confirm that the name and TIN are accurate.
FOREIGN INDICIA
- Why: There is a Foreign Country Code in the country_code field on the User Record and a non-US TIN Type was submitted for the Account holder indicating that this is a Non-US customer.
- Next Steps: No actions are required.
VALID (MATCH)
- Why: The Name and TIN combination is a valid match per the IRS.
- Next Steps: No actions are required.
